Request Content Approvals

Use Content Approvals to ask teammates or clients to sign off on a post before it goes live.

About Content Approvals

The Approvals field on Content is how you choose who must sign off. Approval is separate from Status. Auto Post waits for sign-off only when Require approval is on.

You can choose:

  • None: Approvals are off for this post.

  • Anyone: Anyone with the public Content link can Approve or Reject.

  • Named people: Space members, Contacts, or an email address. Every named approver must approve. One Reject means the Content is not approved.

Before You Start

  • Available on Premium and Premium Plus

  • You need Editor access or above in the Social Space to request approval

  • Premium allows Anyone or one named approver. Premium Plus allows unlimited named approvers

  • Set space defaults in Approval Settings if the same people review most posts

How to Request Approval

  1. Open the Content from Calendar, Board, or Table.

  2. Find the Approvals field.

  3. Click Select content approvers (the picker that shows None when empty).

  4. Choose Anyone, or search Find member, contact, or email… and add people.

  5. If you chose Anyone on a private or expired link, confirm Make this content public? and click Continue. Anyone with this link will be able to view and approve this content.

  6. Click Approval settings to open the Approvers panel.

  7. On the Status tab, click Send (or Send All) to email named approvers.

Named people get an Approval Requested email with Review & approve. Space members also get an in-app notification. Anyone does not get a per-person email. Use Copy Link in the Approvers panel to copy the public Content URL.

Create-time default approvers stay Not sent until you click Send or Send All. Adding someone from the picker requests approval for that person right away.

Track Approval Status

Open Approvers to see each person:

  • Pending

  • Approved

  • Not approved

  • Removed

  • Not sent

Use the History tab for the changelog of requests, decisions, and removals. Use the Contacts tab to add reusable external approvers for this space.

On Calendar, Board, and Table, a shield shows Pending, Approved, or Rejected. Filter with Approvals:

  • Needs my approval

  • Pending

  • Approved

  • Rejected

  • No approval

Resend or Remove Approvers

  1. Open Approvers.

  2. Click Re-send (mail icon) for one person, or Re-send All.

  3. Confirm Re-send approval request?

  4. Click Remove to drop someone from the required set.

  5. Click Clear all to set Approvals back to None.

Removing the last named approver turns approvals off until you select Anyone or add people again.

Require Approval for Auto Post

Under Auto Post, check Require approval if this post should wait until every required approver has approved.

If Approvals is None when you turn this on, Rella invites the space default approvers, or Anyone if none are set.

Readiness copy is Waiting for approval until the post is fully approved.

Approval FAQs

Does moving a post to Approved on the Board count as approval?

No. Use Approve or Reject in the Content header. Status can move automatically only if you configured that in Approval Settings.

What is the difference between Anyone and a named approver?

Anyone lets people with the public Content link decide. Named approvers each get an email (and members get an in-app notification). Every named approver must approve. Copy Link copies the public URL, not a personal invite link. Personal links go out in the approval email.

Can someone approve from a normal share link?

Named approvers should use the Review & approve link from their email. If they open a generic share link instead, they may be asked for the email the request was sent to. If that email matches, they can decide. If it does not match, the Content owner is notified.

Can I take back an Approve or Reject?

Selecting the same decision again does nothing. Switching from Approve to Reject (or the reverse) is allowed. Clearing a decision is not. To ask again after edits, use Re-send.

Why do I see Unlock content approvals?

Content Approvals are available on Premium and above. Upgrade to Premium to require approval before publishing.
